How do you manage your projects

There are four variables to effective project management: spending, schedule, duration and producing a satisfactory result. A bit more ambitious goal is to enchance work organization and resource allocation. The majority of undertakings utilize such elements as labour, money, and equipment to deliver something of value and hit selected targets. To manage projects successfully you need to handle several factors. Some of them are listed in the next paragraph:

- Establishing objectives and conducting analysis.

- Managing risk. Any project has a lot of risks that should be dealt with.

- Assigning and supervising resources.

- Defining the products of the project.

- Supervising the project in terms of who is doing what and at what time.

- Making sure that the outcomes of the project are of satisfactory quality.

- Managing changes. Change happens. When you begin the project, you should forsee how it will develop with time.

- Talking to everybody doing the project.

To handle these elements you can use pencil and a notepad or probably a spreadsheet program. But you get some interesting pluses if you choose to employ project tracking software:

- It simplifies scheduling. The length of work can be calculated by the program using the workload data. Every resource can have their own calendar. It just as well makes it simpler to track progress on various jobs.

- Dealing with a number of projects and handling a number of requirements. Executives can use project management software to facilitate portfolio of projects analysis.

- It assists you in finding the critical path. The critical path is a primary principle in project management. Should a task on the critical path change duration, the rest of the project will be affected. At the same time for activities that are outside the critical path small changes in how long it takes can have no effect whatsoever on the project.

- Allowing everybody involved be aware of what is going on. Big projects require data exchanges. Productivity tracking software makes dissemination of data easier than it has ever been before.

Is it always necessary to employ task tracking software?

Like any instrument, project management software has its limitation. It produces the best result when used for a number of large projects. Small projects can be managed using MS Excel which allows you to save on overhead costs of managing fairy complicated software.
